How to Restore Keystone Data

By default, Keystone uses data stored in a file named Keystone Data in the Keystone folder, which is by default located at C:\Documents and Settings\AllUsers\Shared Documents\MoreThanData\Keystone. If you are using Keystone over a network, this file is on the computer designated as the server.

The directions that follow assume that you are using the default names and locations of the Keystone files and folders. If you have changed the default locations or names in your installation or backup settings, you will need to use that file path for your affiliate’s data instead of the default when following these instructions.

Most Windows XP computers are shipped with the default view settings set to Icon, which shows a picture of a folder, file, etc. when you are looking at the contents of a disk. As there are multiple types of Keystone Data files in the Keystone folder, we recommend that once you have opened the Keystone folder, you select View > Details from the Windows menu bar at the top of the window.  This allows you to see the full file details in the folders. 

In addition, it is recommended that you set Windows to show the extensions of files. You can do this by choosing Start > Settings > Control Panel in Windows and then opening the Folder Options control panel. Click the View tab and scroll down to Hide extensions for known file types. Uncheck this box. This will allow you to see the exact file name and extension for the files you are working with.

To restore Keystone data
  1. Close Keystone.
    If you are running Keystone over a network, ensure that Keystone is closed on all computers on the network.
  2. Rename the existing data file. 
    On the computer where you wish to restore the data, locate the existing Keystone Data file in the Keystone folder (which is by default located at C:\Documents and Settings\AllUsers\Shared Documents\MoreThanData\Keystone) and rename it (e.g. oldKeystone Data). This will preserve a copy of your existing data file in case you need it.
  3. Locate the file with the data you wish to restore. 
    If you are restoring from daily backups saved on your hard drive, the default location for these backups is the Backup Files folder inside the Keystone folder (by default located at C:\Documents and Settings\AllUsers\Shared Documents\MoreThanData\Keystone) . The names of the backup files are in the form YYYYMMDD Keystone Data where YYYYMMDD refers to the date the data was backed up. The most recent backup should therefore be listed last numerically among the files in this folder.

    If you are recovering from a disk crash or virus attack or have otherwise lost all Keystone data from your hard drive, you need to locate the most recent version of the Keystone Data file from your external backups.  You can then install the Keystone program on a different computer and follow the instructions to restore the data.
  4. Copy the data file you are restoring into the Keystone folder (by default located at C:\Documents and Settings\AllUsers\Shared Documents\MoreThanData\Keystone)
    If this file is on the same disk drive as your Keystone folder, be sure you copy the file to the Keystone folder rather than just move it.
  5. Rename the data file to Keystone Data, if necessary. 
    If your previous data file had a different name than the default Keystone Data, make sure this new file has the same name as the one you had been using.

    If you have file extensions set to be visible (see note near the beginning of this topic), you may see this as Keystone Data.mdb. If so, make sure you use this file name instead.
  6. Open Keystone and look at several screens to verify that the data from the restored data file is linked and displaying correctly.
