Electronic notarization is a process whereby a notary affixes an electronic notary signature and seal information to an electronic document (such as a PDF or Word document). The purpose of an acknowledgment is for a signer, whose identity has been verified, to declare to a Notary or notarial officer that he or she has willingly signed a document. An acknowledgment requires the following steps:
1. The signer must physically appear before you.
2. You must positively identify the signer according to your state's rules.
3. The signer may either sign the document before appearing before you, or in your presence.
4. The signer must declare (acknowledge) signing the document for its intended purpose.
A notary public may certify a true copy of an original document. Virginia notaries are NOT authorized to certify “true copies” of court issued documents such as birth, death, or marriage certificates.Only the Division of Vital Records/Statistics may perform such a certification.
